How to contact us — who will read your message, response times and privacy
VividAshram is a small community organisation that provides yoga retreats, Ayurvedic consultations and interpretive astrology services. Our contact channels are used for a range of purposes including bookings, clinical enquiries, press and partnerships, donations, and volunteer coordination. Because many enquiries touch on health (Ayurveda), scheduling (retreat bookings) or finances (donations), we follow transparent policies to protect your privacy and ensure responsible responses.
Who reads your message?
Messages submitted through this form are received by the VividAshram program team and by the staff member responsible for the service you requested (for example the Ayurveda clinic coordinator for clinic queries). Administrative staff review incoming messages and route them to the relevant practitioner or teacher. For sensitive clinical matters the message will be reviewed by a licensed practitioner (BAMS-qualified) before a follow-up is made.
Response time & priority handling
Our target response time is within two business days. Messages flagged as urgent (medical emergency, safety incident) are escalated immediately — if you are in a medical emergency, call local emergency services rather than using this form. Booking requests that include preferred dates receive high priority; please include your desired dates and any relevant medical information to speed processing.
What to include for faster help
- Bookings: dates, number of participants, room preference (single/shared), dietary/allergy notes.
- Ayurveda/clinical: current medications, main concern, age, and any recent diagnoses — we will advise if an in-person consult is required first.
- Astrology: full birth date/time/place and the questions you want answered; upload existing charts if you have them.
- Donations/partnerships/press: include invoicing needs, sample press materials or partnership proposal documents as attachments.
Attachments & privacy
You may attach images or PDFs relevant to your enquiry (allowed file types shown on the form). Attachments are stored in a secure folder under /data/contact_uploads and are accessible only to authorised staff for the purpose of responding. We retain contact messages for administrative and accountability purposes; if you would like your message removed, email info@vividashram.com with your reference ID and we will remove it where legally feasible.
Privacy & data protection
We collect minimal personal data to respond effectively: name, email, phone, message and optional attachments. This data is used only to handle your request and issue receipts where appropriate. If you are contacting us from outside India and wish to exercise data-rights (access, correction, deletion), please indicate this in your message and we will respond according to applicable law.
Safety & medical disclaimers (YMYL)
Many visitors seek health guidance. We provide educational information and practitioner consultations, but nothing submitted via this form constitutes a medical diagnosis. If you have a serious or life-threatening condition, contact emergency medical services immediately. For clinical advice, our Ayurveda team will ask for a full history and may request an in-person assessment before offering therapeutic plans. We will never instruct you to stop prescribed medicine without a physician’s oversight.
Volunteer, donation and partnership enquiries
Volunteers are screened and provided orientation; indicate your skills and availability. Donors who require accounting or tax acknowledgement should state this in the message; we issue receipts and maintain transparent records. Partnership or media proposals should include a short brief and a contact person so our team can respond with an appropriate timeline.
Corrections & transparency
If you report an error about our site or an event listing, we treat corrections with priority. Please include the URL or reference ID and a short note of the correction. We keep an admin correction log for accountability.
